Job overview

An exciting opportunity has arisen within the Resuscitation & Critical Care Outreach Service to  be part of the administration team based at the Royal Gwent Hospital in Newport. It is a very busy but friendly and supportive team and we need someone who is able to support us with this service.

You need to be well organised and practical and must have:

  • excellent verbal and written communication skills
  • good keyboard skills and excellent IT skills with the ability to use all Microsoft packages with confidence
  • experience of an office / reception environment is desirable as is a polite telephone manner
  • be able to work to deadlines
  • be able to work on your own initiative when the need arises. 

Main duties of the job

  • To collect and open post
  • Dealing with telephone enquiries pertaining to course information requests
  • Answering/generating email responses to individuals pertaining to course information, attendance, accommodation and communicating with course faculty members.
  • Arrange / book training sessions aligning with resuscitation and outreach agenda; this will involve entering candidate booking details into spreadsheet systems
  • Manage own calendar to organise and accommodate workload
  • To keep up to date with filing and scanning according to department procedures.
  • Manage the teams’ calendars in terms of arranging appointments, meetings and events
  • General filing, printing, scanning, photocopying and distributing course / training related documentation to candidates, paying attention to detail where required.

  • Preparing course materials/resources for candidates in terms of course packs and information
  • Manage course attendance records, uploading these to ESR system or other Excel systems as used by the team

  • Taking and recording meeting minutes, distributing these in a timely manner to distribute these to attendees

  • Access Oracle ordering/procurement system as required 

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Essential criteria
  • NVQ/QCF Level 2 in Business/Administration OR equivalent demonstrable experience.
  • IT Skills to include Microsoft Word & Excel
Desirable criteria
  • Experience with ESR System
  • Shows initiative
  • Ability to use IT systems and software to include Excel spreadsheets to in put/extract data

  • Excellent interpersonal skills Effective organisational skills
